In some cases, we may collect ‘sensitive information’ such as health data in relation to job applications. We only do this where necessary and with your explicit consent or as otherwise permitted by law.
Wherever practicable, we will provide a collection notice explaining the primary purpose for which we are collecting your personal information.

Animals Asia is committed to protecting the personal information in our care. We implement appropriate technical, administrative, and physical safeguards to prevent unauthorised access, use, alteration, or disclosure, and to guard against loss, misuse, or interference.

Animals Asia takes the security of your payment information seriously. Whether you donate online, by post or over the phone, we use robust systems and trusted service providers to ensure your data is protected throughout the payment process.
- Online donations are processed through PCI DSS (Payment Card Industry Data Security Standard) compliant payment gateways. Your payment information is collected in encrypted form using SSL (Secure Socket Layer) technology, which ensures your card details are securely transmitted to the payment processor.
- Offline donations made by cheque, standing order or credit/debit card are handled securely either by Animals Asia or by our PCI-compliant service providers. Where payment details are collected over the phone, they are entered directly into secure systems and are not recorded or retained beyond what is necessary to complete the transaction.
- No card details are stored by Animals Asia after a donation is processed. We never retain your full card number, CVV, or other sensitive payment data in any system or record.
- We conduct due diligence and regular reviews of our payment processing partners to ensure they maintain high standards of security and compliance.
These safeguards help to ensure that your donation is handled safely and that your payment data is protected from misuse or unauthorised access.

Our authorised staff will process your personal data according to your respective needs. Online donations are securely processed by our PCI (Payment Card Industry) compliant payment service providers. Your payment details are collected in an encrypted form (SSL Protocol). Any offline donations that you make by cheque, monthly debit or credit card are securely processed either by Animals Asia or our PCI-compliant trusted service providers. Any credit card details provided to Animals Asia over the phone are retained only for the duration necessary to securely process your payment.

Animals Asia collects personal information that you provide to us for a nominated purpose. ‘Personal information’ means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not, and whether recorded in a material form or not.
This may include, but is not limited to:

- Telephone numbers

There are times when we may need to collect information from you through our website. This generally involves filling out forms to contribute to an Animals Asia project. We require you to fill out a form with your name, postal address, telephone number and email address. During this process, you are allowed to decline further marketing communication through the four channels. Additionally, you can unsubscribe from the mailing list at any time by following the instructions in all our emails or by emailing [email protected].
When you submit a contribution online, your credit card information will be transmitted to the credit card processing institution for routine verification and processing. Animals Asia does not share credit history or credit card information with other companies or third parties, unless compelled by law or court order to do so. Animals Asia does not store your credit card information in any way.
We aim to collect personal information directly from you. This may occur through:
- Online donations or purchases
- Campaign or event participation
- Signing up to our newsletters
- Applying for employment or volunteering
We may also obtain your personal information from third-party sources such as fundraising service providers, list brokers, or other organisations where it is lawful to do so or you have consented to your information being shared.
If you are under the age of 18, you must have the consent of a parent or guardian before providing any personal information.
We collect your personal information for various purposes, including:
- Marketing: to contact you about donations, services, campaigns and events
- Research: to conduct and/or fund research into Animals Asia programmes and services or research into supporter attitudes.
- Volunteering and support: to enable you to assist us with volunteering, community fundraising, advocacy and other activities where we seek the community’s assistance.
- Job applications: we will need to store your details should you apply for a job with us.
- Operations: communicating with you in relation to our operations, activities and objectives, to verify your identity, to improve and evaluate our programs and services and to comply with relevant laws.
In some cases, we may collect ‘sensitive information’ such as health data in relation to job applications. We only do this where necessary and with your explicit consent or as otherwise permitted by law.
Wherever practicable, we will provide a collection notice explaining the primary purpose for which we are collecting your personal information.
Providing personal information is voluntary. However, without it, we may not be able to:

Animals Asia retains the services of certain outside contractors to perform services on our behalf (for example, to assist with credit card processing). At times, we must disclose relevant information about our customers to our contractors so they may provide specific services for Animals Asia. Animals Asia requires such contractors to keep your information strictly confidential and to use the information solely on behalf of Animals Asia. Animals Asia is committed to protecting the personal information in our care. We implement appropriate technical, administrative and physical safeguards to prevent unauthorised access, use, alteration or disclosure, and to guard against loss, misuse or interference.

- Access controls: Personal data is only accessible to staff members who need it to perform their roles. Access is based on job responsibilities and is regularly reviewed.

Animals Asia takes the security of your payment information seriously. Whether you donate online, by post or over the phone, we use robust systems and trusted service providers to ensure your data is protected throughout the payment process.
- Online donations are processed through PCI DSS (Payment Card Industry Data Security Standard) compliant payment gateways. Your payment information is collected in encrypted form using SSL (Secure Socket Layer) technology, which ensures your card details are securely transmitted to the payment processor.
- Offline donations made by cheque, standing order or credit/debit card are handled securely either by Animals Asia or by our PCI-compliant service providers. Where payment details are collected over the phone, they are entered directly into secure systems and are not recorded or retained beyond what is necessary to complete the transaction.
- No card details are stored by Animals Asia after a donation is processed. We never retain your full card number, CVV, or other sensitive payment data in any system or record.
- We conduct due diligence and regular reviews of our payment processing partners to ensure they maintain high standards of security and compliance.
These safeguards help to ensure that your donation is handled safely, and your payment data is protected from misuse or unauthorised access.
Animals Asia is committed to transparency in our data practices. We will always inform you clearly about what data we collect, why we collect it, how it is used, and with whom it is shared.
We do not input any personal information into artificial intelligence (AI) systems. Any AI tools or automated systems we use are strictly limited to non-personal tasks such as:

Participation in an interview with us confirms the candidate’s agreement not to use AI tools. If AI usage is discovered or reasonably suspected during an interview, the session will be terminated immediately, and the candidate will no longer be considered.

Animals Asia collects personal information that you provide to us for a specific purpose. This information may include but not be limited to name, address, telephone numbers, date of birth, email address, Gift Aid declarations, a record of communications we’ve had with you, your communication preferences, your donations, photos and videos, next of kin details if you participate in an event with us, and bank/credit card details.
We do not knowingly collect personal data from children under the age of 13 without parental or guardian consent. If we were ever to process children’s data in relation to specific activities, we would take care to obtain appropriate consent and apply enhanced safeguards.
Where possible, Animals Asia will collect personal information directly from you. This may include a number of ways, such as through donations online, purchasing merchandise or taking part in an event or campaign.
This could be via our website http://www.animalsasia.org/uk, any related Animals Asia website, social media page, internal website, through third-party sites, for example Just Giving and Virgin Money Giving and Realbuzz, and intranet and any Animals Asia mobile applications, such as the Cymba platform for SMS marketing. We may also update personal information from agencies or public registers to make sure we are not contacting anyone registered with the Telephone Preference Service or the Fundraising Preference Service.

Animals Asia may collect your personal information for a number of purposes, including:
- Volunteering and other support: to enable you to assist us with volunteering, community fundraising, advocacy and other activities where we seek the community’s assistance, we need to communicate to you about the work we do so you are able to pass this information to the public about how they too could get involved with Animals Asia
- Marketing and fundraising: to send you information about donations – including how to Gift Aid these, campaigns and events such as processing fees, administering the events and filming and/ or taking photos to use in future fundraising materials.
- Email marketing: Animals Asia requests your consent to send you marketing information via email. This means you’ll only hear about the work we do if you have given us permission to contact you in this way. Please note: From 1 January 2026, Animals Asia will adopt the soft opt-in approach for email marketing where legally permitted. This means that if you donate to us or purchase goods or services, we may contact you with similar messages unless you choose to opt out at the time of providing your details or at any time thereafter. We will continue to ask for consent from supporters where the soft opt-in does not apply, such as signing up to receive our newsletter or sending an inquiry via our contact form. Some types of communications you’ll receive via email are petitions, quarterly newsletters, rescue missions, and information about events.
- SMS marketing: Animals Asia requests your consent to send you marketing information via text message. This means you’ll only hear about the work we do via this communication channel if you have told us it’s OK to contact you in this way. Please see our separate SMS Terms and Conditions for more details.
- Postal & Telephone marketing: Animals Asia will rely on the Legitimate Interest lawful basis to send you marketing information by post at the address you have provided us, or by calling you on the telephone number you have provided. This means that we will send you post or call you until you tell us you no longer want to receive communication via these channels. Some types of mailings you’ll receive from us are our quarterly appeals, quarterly newsletters, annual review, shop catalogues, surveys, Gift Aid requests. The types of telephone calls you’ll receive from us are campaigns to encourage regular donations or to see whether you have capacity to increase the regular donations you give us. We may from time to time call you to find out your views on Animals Asia and whether we can do any better. - Legacies: We will record that we’ve been told a supporter is leaving a legacy and will administer the pledge accordingly.
- Retail – online or physical: for fulfilment of products such as the merchandise purchased and services.
- Research: to conduct and/or fund research into Animals Asia programs and services, or research into supporter attitudes.
- Analysis, targeting and segmentation : to allow us to gain a deeper insight into our supporters so we are able to send marketing which is tailored and relevant. The information used could be your preferences, interests, and capacity to give financially in order to establish whether any of our supporters has the potential to give for the first time or to give more. This may be by desk research, profiling and screening techniques to analyse your personal information so we can build a profile to contact you with relevant information, to be prepared when we meet you, or to help us find other people like you who might like to show their support. In certain instances, we may add publicly available information to our analysis – for example, addresses, information from Companies House or Charity Commission Registers, newspaper and web articles, social media posts, or typical earnings in an industry. This helps to give us a fuller picture of who supports Animals Asia and whether it is appropriate to make an approach for increased giving, or to work out whether it would be appropriate to ask someone to consider leaving us a legacy. This helps us to make appropriate and relevant approaches and target our resources more effectively. Animals Asia may also use geo-demographic information and measures of influence to tailor asks accordingly. We may, on occasion, use third party suppliers (examples are: Dataro, Factary, Prospecting for Gold, Wealth-X or Experian Mosaic) to provide us with the aforementioned profiling information, and we would only provide them with the elements of data we hold about you to make this task possible.
- Email tracking : We also carry out email tracking, such as when an email has been opened or when links have been clicked on. This allows us to measure whether our email communications are successful and to tailor future emails accordingly.
- Other issues: these include communicating with you regarding our operations, activities, and objectives; verifying your identity; improving and evaluating our programs and services; and complying with relevant laws.

Animals Asia’s Suppliers
We may share personal data with service providers who perform functions and services on our behalf. Such third parties will be provided with personal data necessary to perform the services on our behalf, but are not authorised to use such information for any other purposes. We will have the relevant processing agreements in place to adhere to legal requirements.
Facebook and other social media sites
We may also use your email address and telephone number to link to Facebook or other social media sites in order to identify other users of these sites whom we believe would be interested in Animals Asia, and we may then show them Animals Asia content. We only do this where you have given your consent to receive marketing emails, or have not opted out of receiving telephone calls, and we keep your data secure by encrypting it. No data we hold about you is retained by the third party.
There are two ways to prevent this use of your data: you can either update your preferences at Animals Asia by opting out of email and telephone marketing, or you can do this via the social media site:
Updating your preferences with Animals Asia will not guarantee that you never see Animals Asia content on social media, since the social media site may select you based on other criteria and without your data having been provided by Animals Asia.

Animals Asia will take such steps as are reasonable in the circumstances to protect the personal information that it holds from misuse, interference and loss and from unauthorised access, modification or disclosure. Animals Asia will take such steps as are reasonable in the circumstances to destroy or de-identify personal information should Animals Asia no longer need the information and the information is no longer required to be kept by law or an order of a court/tribunal.
Online donations are securely processed by our PCI (Payment Card Industry) compliant payment service providers. Your payment details are collected in an encrypted form (SSL Protocol). Any offline donations that you make by check, monthly debit or credit card are securely processed either by Animals Asia or our PCI compliant trusted service providers. Any credit card details provided to Animals Asia over the phone are retained only for as long as it takes to securely process your payment.

Animals Asia is committed to complying fully with the Children’s Online Privacy Protection Act of 1998 (“COPPA”). Our site is not targeted to children under the age of 13. Online donations are securely processed by our PCI (Payment Card Industry) compliant payment service providers. Any offline donations that you make by check, monthly debit or credit card are securely processed either by Animals Asia or our PCI-compliant trusted service providers. Any credit card details provided to Animals Asia over the phone are retained only for as long as it takes to securely process your payment.

Online-Spenden werden von unseren PCI (Payment Card Industry) konformen Zahlungsdienstleistern sicher verarbeitet. Ihre Zahlungsinformationen werden über ein verschlüsseltes SSL-Protokoll erfasst. Alle Offline-Spenden, die per Scheck, monatlicher Abbuchung oder Kreditkarte getätigt werden, werden entweder von Animals Asia oder unseren PCI-konformen, vertrauenswürdigen Dienstleistern sicher bearbeitet. Jegliche Kreditkarteninformationen, die Animals Asia am Telefon mitgeteilt werden, werden nur so lange gespeichert, wie es für die sichere Bearbeitung Ihrer Zahlung notwendig ist.

Una volta ricevuta la trasmissione, Animals Asia compie sforzi ragionevoli per cercare di garantirne la sicurezza sia nei propri sistemi che durante il transito tra i propri sistemi e quelli delle società che ci forniscono i vari servizi.
Animals Asia adotterà le misure ragionevoli in base alle circostanze per distruggere o de-identificare le informazioni personali nel caso in cui Animals Asia non ne abbia più bisogno e le informazioni non debbano più essere conservate per legge o per ordine di un tribunale.
Le donazioni online sono elaborate in modo sicuro dai nostri fornitori di servizi di pagamento conformi allo standard PCI (Payment Card Industry). I dati di pagamento vengono raccolti in forma criptata (protocollo SSL). Le donazioni offline effettuate tramite assegno, addebito mensile o carta di credito vengono elaborate in modo sicuro da Animals Asia o dai nostri fornitori di servizi di fiducia conformi allo standard PCI. I dati della carta di credito forniti ad Animals Asia per telefono vengono conservati solo per il tempo necessario a elaborare in modo sicuro il pagamento.
Animals Asia si impegna a garantire la trasparenza nelle proprie pratiche relative ai dati. Vi informeremo sempre in modo chiaro su quali dati raccogliamo, perché, come vengono utilizzati e con chi vengono condivisi.
Non inseriamo alcuna informazione personale nei sistemi di intelligenza artificiale (AI). Gli strumenti di IA o i sistemi automatizzati che utilizziamo sono strettamente limitati a compiti non personali, quali:
- Analisi delle tendenze di utilizzo anonimo del sito web
- Generazione di sintesi o rapporti interni
- Supporto alla strategia e alla pianificazione di alto livello
- Traduzione linguistica o modifica dei contenuti sul nostro sito web (con un disclaimer visibile ove applicabile)
Non utilizziamo l’IA per l’elaborazione delle candidature di lavoro o per qualsiasi decisione che coinvolga persone fisiche.
Tutti gli utilizzi dell’IA sono soggetti a una rigorosa supervisione e devono essere conformi alle leggi sulla privacy applicabili. Esaminiamo regolarmente i nostri strumenti di IA per garantire che siano in linea con i nostri valori organizzativi, gli obblighi legali e le aspettative della comunità.
Utilizzo dell’IA durante i colloqui
Animals Asia si impegna a garantire un processo di colloquio equo, genuino e professionale. L’uso di strumenti di IA, inclusi, a titolo esemplificativo ma non esaustivo, la trascrizione in tempo reale, la generazione automatica di risposte o le risposte ai colloqui assistite dall’IA, è severamente vietato durante qualsiasi fase del processo di reclutamento.
La partecipazione a un colloquio con noi conferma l’accordo del candidato a non utilizzare strumenti di IA. Se durante un colloquio viene scoperto o si sospetta ragionevolmente l’uso dell’IA, la sessione verrà immediatamente interrotta e il candidato non sarà più preso in considerazione.
